Welcome to the technology corner for this month. In a recent issue we addressed the significance of email and especially video email marketing. In this article we want to expand on that idea and give you help on how to set up your master email lead list.

We all get monthly or weekly email advertisements from popular retailers announcing product specials ranging from computers to furniture and even airline flights. These are companies that spend millions in print media and TV advertising. Now these organizations have become experts in email marketing. We can make a “chiropractic recipe for success” in email marketing and lead generation by simply watching what these businesses are doing and why they are doing it.

Simply stated, email is the most affordable form of marketing today. Companies are now shifting advertising campaign money and expending energy growing their prospecting email lists. Have you ever noticed that some sellers will ask for your postal code and email address every time you buy something? Especially when you make an online order, an email address is obligatory. Warm leads are used by these businesses to generate a sizable email database. These are clients that are already using their products or services or have enquired about their products. Email lists are bought by some organizations but they would be classed as cold leads. Why would you want to buy a list and advertise health products or services to someone that isn’t and may never be health conscious?

There are rules and regulations related to buying an emailing lists. Before you spend your hard earned cash on cold leads, do your homework. As chiropractors, we have so many avenues to collect warm leads to create an email wave in your community. Only a bunch of chiropractors are doing it so be the first in your community to master the internet via email. Let me tell you about some of these gems that so few chiropractors are tapping into.

A good number of chiropractors do outside talks or outreach events in order to build a chiropractic community awareness and promote their practice. You should be collecting important email addresses at all of these events. For example, if you do a screening, the possible new patient is interested enough in your service to stop and take part in the screening. Many times we are disappointed that they didn’t accept your offer for a discounted examination. What you do with that name will make all the difference in the world. Most chiropractors at best will send them a letter or a newsletter. If they weren’t interested then what makes you think they’re going to respond to a letter in the next two weeks? In order to keep that lead viable you need to stay in constant contact with them every single month until they do one of two things; sign up or ask you to stop sending them information.

The key is sending them relevant information that is communicated with cutting edge technology sent right to their home. We live in a world that is spending most of their leisure time watching TV, movies and surfing the internet and email. If you don’t have a big advertising budget you need to communicate with them via email. A good video email campaign will not only keep you in front of your warm leads it will help you convert them into new patients.

If you’re interested in a product but not ready to purchase it could take months before you decide to make that decision and buy that item. The same idea applies to healthcare especially if they are in tune with crisis care. Potential patients might comprehend the whole concept of wellness as of yet, and until they have a crisis they might not be ready to use your chiropractic services. What happens if you lose contact with that warm lead and they have a health problem and decide to try chiropractic eight month or a year down the road? They might come to see you but your chances increase exponentially if you have been in contact with them over the preceding months.

Collecting emails at exhibitions, corporate talks and outside events is a great way to grow your database of warm leads, but what if your practice style is driven mostly by internal marketing? Let them know you’re opening a new patient education initiative that involves email and they are going to be forwarded high quality cutting edge videos on the chiropractic lifestyle that arrive in their inbox. If you communicate the importance of helping you send these emails to friends and family you create a viral component to your email which is another subject in itself.

Asking your patients for emails is another great way to generate hundreds of emails. Create a huge buzz over a draw you’re going to have. The more email names they provide the more times their name is submitted into the draw to win a brilliant prize. By simply having a draw in your center, imagine how many emails you’re going to get. You can take it one step further and have your patients email their friends info introducing your new video email initiative. What a way to reach out into your community to spread the word about the chiropractic lifestyle and what an even better way to convert those leads to new patients.

This month in your tech corner we are reviewing several ways to improve practices using ‘viral marketing’ through technology and email. What exactly do we mean by ‘viral marketing’?

Everyone is now familiar with YouTube’s method of submitting, linking and searching for videos. It’s a basic concept that started off with people uploading videos on various subjects for fun or entertainment and it spreads through the internet like a replicating virus does. A medium for organizations to post videos on the products or services that they offer is ultimately what it has become. An international presence or a product that can be purchased or ordered online is essential to be successful in this type of viral marketing.

What are some of the benefits of using this type of technology to grow your practice and market chiropractic? Fortunately, videos will do a great job to advance the idea of chiropractic in the general public, provided they are positive videos that explain the concept of chiropractic and boost the chiropractic wellness position. That said, the likelihood of someone local searching chiropractic on YouTube, picking your particular clinic and then booking an appointment is little to none.

How then, does one begin educating people outside the confines of a practice, using the internet and email for external marketing? There are many programs currently using email technology with auto responders to educate and keep the communication lines open with possible clients. There are however, flaws to these systems; the doctor is responsible for initially creating the content to educate future patients, or they frequently use out-dated newsletter email techniques. We must remember that we live in a high-tech, video driven world with high expectations.

When was the last time you had a newsletter via email from Coca-Cola or Pepsi? These are businesses that spend millions in video-based marketing. Quite simply, video is the way to go, when it comes to influencing the public. What keeps these organizations at the top is the amount of time and money that they spend on marketing. Yes, they have the financial backing to spend on costly endorsements and expensive TV advertising. A single chiropractic clinic has limited marketing fund, and our associations are not spending millions to advance chiropractic in the public eye (and if they are it’s on a small local scale). We need to use creative ways to teach people using 21st century technology and techniques that work, at a reasonable price point that any chiropractor can afford.

Although newsletters and mailings can still be inherently useful, as a profession, we must embrace newer technologies of patient education. People are used to being entertained and our new generation prefers visually-based ways of education. The idea of newsletters is to inform patients, and their friends and family members, on chiropractic. The hope or payoff is that when they have a health problem, they might come in and see you as a result of having been sent your monthly newsletter, however the return on investment is VERY limited.

Let’s go back and explore the idea of video technology and the YouTube idea.

Are you broadcasting videos on your website? Or better yet, do you even maintain a website? High quality videos that fully teach the method of chiropractic and the wellness lifestyle should be shared on the website of any clinic seeking to increase its income potential. Additionally, videos enticing viewers to seek chiropractic care for various health-related issues such as headaches, low back pain and neck pain could also be broadcast. Chiropractic videos are a useful way to educate the public at large and bring your website into the 21st century. Services do exist that take this one step further and allow doctors to send emails on their websites by sending the potential lead a video email with a coupon or offer to come into their practice for a consultation. People are plugged into the internet and when they are looking for services they often do a Google search to locate the closest chiropractic office. A powerful and interesting website with fantastic video and video email lead generation will have that edge that places your clinic above the rest.

Why re-invent the wheel? Rather than try to develop your own, locate a organization that has designed amazing high quality videos that will stream on your website seamlessly and effortlessly. Let these videos, with their unique messages, act to passively draw potential new patients through your door. Video email automation will be discussed in our next issue.

How do I change my chiropractic software that has years of information?

So many chiropractors find themselves ensnared in software that never seems to evolve or advance. They really don’t have any incentive to continue to develop the product to match your changing needs once a software company has made that initial sale. That’s a negative of buying a system verse a lease to own with a support package. Often you’re left to work things out yourself, they’re satisfied to have sold you software. That’s ok if your computer savvy and have all the time in the world but as chiropractors we’re not trained to correct computer and software subluxations, we are trained to correct spinal subluxations. A company that is aimed towards customer service will have a fantastic training program and follow up. You should also be provided with ongoing training very much like a lunch and learn program.

This leads to the next question: How often is your software providing new releases? Maybe you have a software system that has a new version every year and it’s simply to fix problems and add minor enhancements. Those enhancements might even create havoc with the current way you use the system and you may even decide not to update. There are several reasons why a company creates updates:

1. To entice you to buy upgrades

2. To correct problems

3. To add enhancements

Make sure you search for a software system that includes all your releases and has a rigid programming schedule. Put simply, they know where they’re going and how to get there.

The hallmark of efficient software is one that is constantly progressing, offering new products and web services to meet the demands of growing companies. As technology advances, if we want to remain viable in this economy, we need to change and adapt to new technology. Patients are expecting more and if you don’t provide it someone else down the street will meet those expectations. The software system you are using can make or break the patient’s perception in your office. Do you want to be known as old school or new school?

If your current software is meeting your needs and keeping up with all the available web services and advanced features then great. What happens when they’re not keeping up with new technology and you want to change?

Unfortunately so many office settle for second best simply because their scared to change or disrupt the office. What should you do and what are your options for making that change?

Search for a organization that will provide you with a information conversion for your current system. Is that possible and do companies provide that type of service? From experience I can tell you that very few businesses provide a information conversion and if they do it is very limited. If a conversion is possible ask them in advance what to expect from the conversion. If they haven’t previously converted your system it will require a larger investment in time on their part and your cooperation. Until you receive the final result, you won’t know how much information is going to be converted. Since your stepping into the unknown ask for previous conversion referrals.

If they don’t provide a conversion be prepared to hear one of these four common reasons why.

1. Your current system is so outdated we can’t possibly retrieve any information.

2. Your current system might be damaged and we don’t want to transfer corrupt records.

3. Your information base is protected and we can’t access the database

4. We simply don’t provide database conversions

If the organization you’re looking at states any of the four above reasons what is your alternative? If you decide to go with this company you will be required to manually enter all your current patients’ demographic data, appointments, charges and insurance information into the new software. Can you anticipate) the hundreds of hours of work this will create for you and your staff. You risk the chance of annoying and losing your staff along with some patients as well.

Or you can locate a software company that is prepared to take the time to look at your data and give you some suggestions. A world class team will be able to analyze your database and give you feedback regarding the amount of records that can be transferred. In many cases they should be able to transfer all your info saving you lots of hours of work and thousands of dollars of information entry.

Just remember there are many methods. The quality of support you get converting your records and the quality of training you get will certainly show the level of support you can expect in the future.

Dr. Stephane Laverdiere, Chiropractor

Dr. Stephane Laverdiere, chiropractor graduated from National College of Chiropractic in 1995 with a Bachelor’s of Science Degree in Biology and a Doctorate of Chiropractic, which marked his surge of willingness to aid his fellow man. Starting a private practice after completing college was a fun and exciting time for him. he saw his office continue to increase and as is often with all business this new development encountered new challenges where he found it immeasurably difficult to be efficient.

Over time this inefficiency lead to a decline in his inspiration and energy levels. They had arrived at the bottom when he made the decision it was time to find some help and he went to a chiropractic performance coaching forum. Following attending this specific meeting he noted that he had invested years studying to be a Chiropractor and about seven days studying chiropractic office management.

These hurdles in productivity, time management and office procedures were preventing his chiropractic practice from reaching his objective, which he was very self-assured that he should have been able to accomplish. He started asking one of the most essential questions a Chiropractor should know: I should know my existing chiropractic management software is meeting our chiropractic office desires and goals? He used up the the forthcoming year studying his chiropractic office management system and systems and answered some important questions: Do I have a incorporated system to prevent my team from losing trace of clients families? Does my existing system make recalls and collections easy and fail safe?
